Privacy policy

This page explains what personal information The 5 Minute Planner collects, why, and what you can do about it. We keep it to what we need, we never sell it, and you can ask us to delete it at any time.

Who we are

The 5 Minute Planner is run by Matt Willcocks through Sandgrain Ltd, based in the United Kingdom. We are the "controller" of your personal data. For anything about your data, email mattw@sandgrain.co.uk.

What we collect

  • When you ask for the free Planner: your first name, your email address, and whether you've agreed to receive occasional emails from us.
  • When you become a member: your name, email address, billing details and purchase history. Card payments are handled by our payment provider; we never see or store your full card number.
  • When you use the site and open our emails: basic technical and usage information, such as the pages you visit, whether you open an email and which links you click. This is collected through cookies and similar technology.

How we use it, and why we're allowed to

  • To send you what you asked for – the Planner, the Getting Started Guide and your welcome email. We do this because you requested them.
  • To provide Membership – access, billing, renewals and support. This is needed to fulfil our agreement with you.
  • To send occasional ideas, tips and news about using the Planner and about Membership – only if you've ticked the box to say yes. Every email has an unsubscribe link, and you can change your mind at any time.
  • To keep the site secure and understand what's working – for example, which pages are useful. This is in our legitimate interest in running and improving the service.

We don't sell your information, and we don't share it with anyone for their own marketing.

Who we share it with

We use a small number of trusted service providers who handle data on our behalf and only as we instruct:

  • Kajabi – runs our website, forms, emails and Membership.
  • Payment providers (such as Stripe or PayPal, through Kajabi) – process Membership payments.
  • Video hosting (Wistia, through Kajabi) – plays the videos on our pages.

Some of these providers store or process data outside the UK, including in the United States. Where they do, the transfer is protected by recognised safeguards, such as UK adequacy regulations or the UK International Data Transfer Addendum to standard contractual clauses.

How long we keep it

  • Free Planner and email list: until you unsubscribe or ask us to delete it. If you haven't opened any of our emails for three years, we'll remove you.
  • Membership and payment records: for as long as you're a member, then for up to six years, as UK tax and accounting rules require.

Cookies

Our site uses cookies that it needs to work, such as those that keep you logged in or make checkout possible. It may also use analytics cookies that help us understand how the site is used. You can control or delete cookies in your browser settings.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal data we hold about you
  • correct anything that's wrong
  • delete your data
  • restrict or object to how we use it, including stopping marketing emails at any time
  • send your data to you or another provider in a usable format

Where we rely on your consent, you can withdraw it whenever you like. To use any of these rights, email us at the address above. We'll respond within one month.

If you're unhappy with how we've handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Children

The 5 Minute Planner isn't aimed at children, and we don't knowingly collect data from anyone under 16.

Changes to this policy

If we change how we use your data, we'll update this page and the date at the top. If a change is significant, we'll let you know by email.
